How to Migrate from PracticePanther to MyCase

PracticePanther has gone through significant changes since its acquisition by Paradigm (the same company behind MyCase and Docketwise). Legacy pricing tiers are being phased out, and firms that signed up years ago are facing repricing to current standard rates of $49/user/month. For firms reassessing whether PracticePanther is the right long-term fit, MyCase — now a sister product under Paradigm — is the most natural lateral migration: comparable feature set, cleaner billing UI, and a $10/user/month price advantage at $39/user/month.

This is not an upgrade-or-downgrade story. It's a lateral switch between two modern cloud platforms.

Why Legacy PP Plan Holders Are Reassessing

Paradigm repricing. Firms on pre-acquisition legacy plans are seeing pricing move to the current $49/user/month standard tier. For a 10-attorney firm, that's a meaningful cost increase.

MyCase's billing and client portal are stronger. PracticePanther's strengths are automation depth and custom workflow building. MyCase's strengths are billing UI clarity and the client portal experience. For firms that don't heavily use PP's automation features, the trade is favorable.

Price delta. $39/user/month (MyCase) vs. $49/user/month (PracticePanther) = $120/month savings per 10 users, or $1,440/year. Material for smaller firms.

Both are Paradigm products. The vendor relationship is with the same parent company. Support infrastructure, data standards, and long-term roadmaps are informed by the same ownership.

What to Back Up and Export Before You Start

Keep PracticePanther running and accessible until your MyCase data is fully validated — 30 days minimum after go-live.

  1. Contacts and clients — Export all contacts including clients, opposing counsel, expert witnesses, and vendors. PracticePanther allows CSV export from the Contacts section. Spot-check for duplicates before importing.
  2. Matters — Export all open and closed matters. Note any custom fields you've built in PracticePanther — each needs to be recreated in MyCase or the data will not transfer.
  3. Time entries — Export your complete time entry history. This is the most consequential piece for billing continuity: rates, timekeeper assignments, billing codes, and matter linkages all need to transfer correctly.
  4. Billing history — Export invoices, payments, and accounts receivable aging. Getting open AR right at migration time prevents billing confusion during the cutover period.
  5. Documents — PracticePanther has built-in document storage and integrates with Google Drive and Dropbox. MyCase supports the same integrations and has its own document storage.
  6. Calendar and tasks — Export open tasks and future calendar entries. Historical calendar data is less critical.

Clean your data before import.PP installations accumulate duplicate contacts and inactive matters over time. Clean in PracticePanther before migrating — it's easier there than correcting records in MyCase after the fact.

Step-by-Step: The Migration Process

Step 1: Set up MyCase and configure your firm profile

Start with a MyCase free trial to familiarize yourself with the interface before your import. Contact MyCase's onboarding team — because both products are under Paradigm, their onboarding team has specific experience with PP migrations. Assign an internal migration lead and 2–3 power users for data validation.

Step 2: Map your PracticePanther data to MyCase

  • Custom fields: Inventory every custom field in PracticePanther. MyCase supports custom fields but with different configuration options.
  • Matter types: Map PP's practice areas to MyCase's practice area model.
  • Billing rates: Review all timekeeper rates, billing codes, and client-specific rate exceptions.
  • Automation workflows: PP's automation (task sequences, document assembly rules, intake workflows) does not transfer to MyCase. Identify your most-used PP automations and plan how to recreate them.

Step 3: Import contacts, then matters

  1. Import contacts and clients from CSV — validate a sample
  2. Import matters linked to contacts — validate matter status, practice area assignment, custom fields
  3. Spot-check at least 10–15% of records before proceeding

Step 4: Import time entries and billing history

This is the most sensitive step. Validate correct matter linkage, timekeeper and billing rate, and that open invoices match PracticePanther AR aging. For open invoices at migration, decide whether to reproduce them in MyCase or track them as paid when payment arrives. Most firms find it cleaner to reproduce outstanding invoices in MyCase.

Step 5: Migrate documents

Export documents from whichever storage system you use and upload to MyCase's document storage or your connected cloud storage (Google Drive, Dropbox). Large document libraries may take 1–2 additional weeks.

Step 6: Invite clients to the MyCase portal

The MyCase client portal is cleaner and more consistently used than PracticePanther's portal. Once your data is validated and your team is trained, migrate clients to the MyCase portal — this is a good opportunity to encourage portal adoption as part of the transition.

At $39 vs. $49/user/month, the savings are material for firms above 5 users.

Same Paradigm parent

Support escalation path, billing relationship, and data portability standards are all within the same corporate family.

Caveats and Honest Warnings

Automation depth is a PracticePanther strength. PP's workflow automation — task sequences, document assembly triggers, intake form automation — is more powerful than what MyCase offers natively. Firms that rely heavily on PP automations will need to rebuild them in MyCase.

No automatic document transfer. Documents stored in PP don't automatically move to MyCase. This requires a manual export and re-upload step.

Budget 4–6 weeks. This is a lateral migration between modern platforms — shorter than migrating from a legacy server-based system, but still requires planning.

Trust accounting reconciliation applies. If you manage client trust funds, reconcile every trust balance against PracticePanther records before going live. Non-negotiable regardless of the migration path.
